Feature 2 – Mass Delete Reports (plus bonus forgotten report feature)

Clean up the reporting folder quickly and easily images

In the past, if you needed to unclutter unused reports, the process was a bit tedious.

You would have to perform the uncluttering by locating each report and deleting one report at a time. The Mass Delete feature makes time-consuming report clean up a thing of the past. The instructions for using the Mass Delete report feature are as follows:

 

1. In the “Administer” section of Setup’s left navigation bar, click on the Data Management link and then the Mass Delete Records link.

2. Next click on the Mass Delete Reports link to search for and mass delete public reports that you no longer need.

3. You will be taken to the Mass Delete Reports page where you can enter search criteria using fields like Report Name, Description, Folder, Created Date, Last Modified By, Last Modified By, Last Run, and Name.

In the screenshot below, we are searching for all reports that haven’t been run since 10/1/2013 whose report name contains “Test”.

massdelete2Once you click on the ‘Search’ button, Salesforce.com will display all the reports that meet the search criteria entered.
From these search results, user can pick and choose any or all of the reports that need to be deleted by selecting the checkbox next to the report and clicking on the ‘Delete’ button.

Notes:

A. Deleted reports initially go into the Recycle Bin of your org from which you can delete them permanently or undelete them if they were deleted inadvertently.
B. Reports that been scheduled or are currently in use in dashboards or analytic snapshots cannot be deleted using this feature.

Bonus – Pin/Bookmark Report folders

Keeping on the subject of quickly organizing Reports, another forgotten feature is the ability to pin report folders as favorites. With this feature you can quickly access reports you use most often without having to scroll through the long list of folders. To pin a report folder to the top, simply hover over that folder and select the sub-menu on the blue pin that shows up on the folder name. The ‘Pin to top’ menu item will bookmark the report folder to the top of the reports. To unpin a bookmarked report folder, hover over that folder and select the ‘Unpin’ menu item from the sub-menu on the blue pin.
