Feature 4 – Content Libraries

online-library[1]How often have you wasted time searching for client presentations, white papers or other development documents? Have you ever communicated with a client about product offerings, only to realize later that the product presentation you referenced was out-of-date?

Salesforce Content is probably one of the most over-looked FREE features Salesforce.com offer. It easily solves the issue above and more.

Simple Sharing and Easy to Find

Libraries offer the ability to manage client-facing and internal-only content.  You can keep the most up-to-date presentations, white papers, product specs, price lists, contracts, and other documentation readily available for end-users, who can subscribe to Libraries or particular pieces of content and get alerts when new versions are available. So…no more outdated documents!

Content is different because it does not use the traditional folder storage, it uses Libraries (used to be called Workspaces) and tags. It eliminates the need for hierarchical folder structures, which frequently makes it difficult to find the items you are looking for.

It is as easy to search for relevant documents. You can filter your results by author, type, industry, tags, or other fields. It will pull up matching documents; show you how other people within your organization rated this content, and how often it was downloaded.

Create and modify presentations

Do you want to use slides from a previous presentation or maybe slides from a colleague’s presentation? No problem! Salesforce Content Libraries allows you to upload your entire PowerPoint presentation and it also extracts the individual slides so you can assemble or modify a presentation. Furthermore, it can perform a full-text search of each slide and return only slides applicable to your purpose.

This assembly tool allows you to create or modify the custom presentation by simply dragging and dropping individual slides. Very Cool!

And, after you’ve assembled your presentations and stored your white papers, why not create a Content Pack? Content Packs allow users to quickly create “packages” of documents to send to prospects as an online presentation. For example, in your Library you have a Company Overview PowerPoint and several Case Study PDFs.  You will likely want to send both to a prospect but the Case Study will vary each time. Using the Content Pack functionality, the rep can drag and drop whole content pieces or even individual pages into a package to send to the prospect who views the content online (no attachments to get blocked as spam). With the online view functionality, the rep can also specify if the Content can be downloaded or viewed-only, set an expiration date, and be alerts when the content is accessed.

Send online content, track views and downloads

No more heavy file attachments. Content Delivery allows you to easily convert your presentations, proposals, contracts and other files to into an optimized web-based version for easy online viewing. Once you create your delivery, you can send its encrypted URL to any recipient and then track how often the content is viewed or downloaded. In addition to tracking, content deliveries provide several benefits over sending files as attachments, such as giving you control over how long the delivery is available to viewers and whether a viewer can download a file or see it online only.
